The Administrative Assistant will provide administrative support to the Chief People Officer, Chief Commercial Officer and HR department.  This role will work closely with the HR team and other departments to ensure efficient HR operations and the smooth handling of HR-related matters. The ideal candidate will be highly organized, detail-oriented, and able to multitask effectively while maintaining a high standard of professionalism. This position is located at our Watertown, MA site. We offer a hybrid work schedule.

Responsibilities

Primary responsibilities include, but are not limited to, the following:

 

Individual responsibilities

  • Manage schedule/calendars, coordinate meetings, appointments, and travel arrangements as needed for both CPO and CCO ensuring there are no scheduling conflicts.
  • Manage monthly expense report submission with Concur Expense system for CPO and other team members as needed.
  • Support Talent Acquisition function with scheduling interviews and communicating with candidates.  Provide onsite support for candidates visiting the Watertown office, ensuring a positive candidate experience.
  • Arrange logistics for employee events, HR meetings, lunch & learns or conferences, including catering, transportation, and venue setup.
  • Prepare PowerPoint slides for various presentations and company meetings.
  • Collaborate with the Administrative Staff to continually identify ways to improve the efficiency of the office and provide back-up for team members when they are out of the office.
  • Ensure office and kitchen supply is up to date

Qualifications

Primary skills and knowledge required include, but are not limited to the following:

  • Excellent interpersonal, written and verbal communication skills
  • Able to speak comfortably with employees of all levels
  • Strong organizational skills and keen attention to detail
  • Ability to work autonomously and self-motivate, as well as in a team environment
  • Exceptional computer skills in MS Office 365, with a high level of proficiency in Word and PowerPoint, and a high level of comfort using technology to help the organization become more efficient.  
  • Time management skills to not only handle his/her own time well, but also that of the Executive. That means coordinating the needs and demands of multiple people to create a workable schedule and then changing that schedule on short notice as situations change.
  • Proven track record in dealing tactfully and professionally with confidential information
  • Ability to work on special projects and support key initiatives, in addition to routine work
  • Adapts well to changing plans and priorities; comfortable dealing with fast paced environment and ambiguity
  • Knowledge of the Agiloft system is a plus.

Level of Education Required:

Bachelor’s degree required or related experience

  • Preferred Field of Study: Human Resources, Business Administration, or related field required.

Number of Years of Experience:

A minimum of 3-5 years of experience providing administrative support to Human Resources function.
